IWGA was represented by President Ron Froehlich, Secretary General Co Koren, Manager Patsy Dew, Sports Director Joachim Gossow, and Treasurer Lukas Hinder. International Olympic Committee (IOC) member C.K. Wu, the IOC Liaison to The World Games, also attended the meeting on the second day, after flying in directly from Madrid, Spain.

After welcome speeches by IWGA President Froehlich and Kaohsiung City Mayoress and KOC President Chu Chen, the main points on the agenda for the first day of the meeting were media and marketing, sports related planning and IT services. On day two, logistics, security, ticketing, and cultural events were discussed.

In order to avoid any health risks for athletes as well as the general public, KOC and the Kaohsiung City Government jointly announced the set-up of an Emergency Response Team.
